We all know that modern clinics are now operating at great pace striving to serve as many patients as possible with the best of their abilities.

People have become more health conscious and are taking necessary steps to ensure that their teeth are in good health that is why everyday many people come to clinics for check-ups and treatments.
Computerized Santillan’s Dental Record Management and Billing System will accomplish their task easily, faster, and many reach the satisfaction of their records modern technology. The Santillan’s Dental Clinic used a manual system and unorganized system in their every transaction, and the researchers made this project to solve their problem.
Project Context
Santillan’s Dental Clinic is known for their quality service but in their manual transaction, they still encounter problems when it comes to concerns
of patients specially on setting appointment, storing/keeping of files, hassle searching of patient’s record and history that causing the doctor to delay the medication of the patients. The system provides a variety of features to have solution in facing the patients in non hassle way, and this is by developing their system that can give their patients ease of setting for their medication schedule, more accurate and effective way of giving medical history to the dentist, and also prescription and billing statement of the patient. The reason for such having problems are the manual transaction of the clinic causes weak service in meeting customers’ need. Santillan Dental Clinic is a clinic located at Masibucan St. Mapalacsiao, Tarlac City. It is owned by Dr. Efren Santillan, DMD, known for his expertise in the field of dentistry. The said clinic is operated by one dentist, and 2 assistants.
Purpose and Description
The purpose of this study is to help the dentist; the clerk and also the patient by using this develop system, in terms of providing good quality service for their patients. This study shows the organized and effective processing system of every transaction like scheduling in setting appointment of patients, prescription of the dentist and also billing statement for payments.
Second, the study intends to show the management of Santillan’s Dental Clinic possibilities of a more efficient way of minimizing all paper works and manual records keeping, therefore allowing dentists and staff ease in keeping track in patients, reducing patients in waiting for their medication and increasing the number of patients served – a system that is user-friendly, secured data process, time effective
and efficient system.
Statement of the Objectives
This study aims to develop and design a Dental Record Management and Billing System specifically it aims: 1.1 Organize the patient's schedule; 1.2 Computerized record of patients; 1.3 To automate billing statement; 1.4 To minimize time in searching patient records; 1.5 Authorize release of medical information and medical certificate; 1.6 Allow doctors retrieve complete patient history faster; Scope and limitation In general, the focus of this study is directly towards the design and development of a Dental Record Management and Billing System that will solve and organize the problem of the clinic when it comes in paper works and manual record management. The system will supervise and track all the records and transaction of their patient and it has an administrative account for security purposes. The developed system will easily search and modify the history record of the patient by entering the patient number that the system required. It also reschedule the patient their next regular check-up.
According to Bill Briggs, Senior Editor “Clinical Information System are the new I.T darlings as provider organizations embrace the latest technology tools, organization’s I.T agenda, there are some who believes they won’t be dislodged”. “Providers list arrange of application under the clinical information system heading. The catalog includes all the various components of electronic medical records and computerized physician order entry system. It also includes disease management, clinical decision support, nursing documentation, laboratory, radiology, pharmacy, surgical, emergency department, mobile health and picture archiving and communication system”. In the Book of Kendall and Kendall (1999) entitled ”The computer was adapted initially to take over the routine work and force
personnel for a more creative task ( in addition to holding certain highly routine task for more rapidly done manuals”.) It is just stated with the aid of computers it will hasten the manual system and resolve the problem by the personnel of the business.
As sited in the article entitled ” Security of Computerized Patient’s Records”, by Henry C. Fader. Computer and information technology has provided as a new and advance way to store a vast amount of information in a little storage space. The industry started to computerize the information over a decade ago in keeping up with the complexity of managing patient’s health-related. A computerize patient records (CPR) is a comprehensive database system used to store and access patient’s healthcare and information. The Computer-based patient record institute (CPRI) defines a CPR as electronically maintained information about an individual’s life time health status and healthcare. A computer-based record replaces the medical record as a primary source of information for healthcare meeting all clinical, legal and administrative requirements.
Linda Carrier Walker says in the article “ Patients Safety: Medication Use and the Ageing Population ” that, “ Pharmacists, physicians and nurses are involve in patient medication through dispensing, prescribing and administering medications. ” as health professionals they provide appropriate care and medicine, and act as sources of information and advice to patients.
Local Literature
The thesis study by Lorna Canal and Daisy Come entitled “Manila Doctors Medicare Monitoring System”. Shows how the computerized system achieve solutions to the disadvantages of manual work. A lot of people today use of computer in their work application to attain the same benefit in
obtaining fast and accurate data which minimizing time effort and money”. The computerization of the manual process will minimize the problem encountered as the result of efficient system. Like more than other institution, the computerization of the manual process will strongly influence the quality of services and benefits of the dentist and person in charge. The safety of records will be assured because of the securities, which the system provides.
Foreign studies
In order to organized and secure files, a computerize system must be provided according to rex Vincent V Buenafe and Geraldine G. Maraso in their unpublished thesis entitled “Vetera Pation Monitoring System”, stated that: “To provide the hospital with organized and secure files, a computerize system is one of its needs. Computer reduced manual works as well as providing faster and more accurate information.”
In the study entitled “Child Health Information System”, developed by Susan C. Robinson consist of unique clip-board-sized, hand held computer known as “pen tablet ” and a computer database server to which that the tablet are networked. Medical providers and support used the pen tablet to provide access to patient record and to enter patient information during the encounter. The system’s design allows clinicians to move freely with the electronic record in-hand around a mobile medical unit, homeless shelter, or school-based clinic.
