the value of online computerized system.

Project Objectives

The proponents aims to develop an Online Reservation System that will help the Galilee Mansion and Garden Resort to progress and minimize the problems in the procedure of its reservation. General Objective The proposed system is intended to create a more reliable and secured reservation system for the resort with data accessibility and easy back-up. Giving more convenient and efficient reservation for the end-users and avoiding any possible booking problems because payment is also included.

Specific Objectives

  • To increase the security and confidentiality of each files and report by providing a security module that is accessible only to the authorized person in the company.
  • To create back-up since it’s an online based system storing data.
  • To make searching and retrieving of records easier since there would be a search module that would filter all the needed records.
  • To assure that every reservation is verified because payment transaction is included.
  • To help the company to increase their exposure to other possible client/s in and out of the province.

Scope and Limitation of the Project

The project scope is to modify the resort’s manual reservation system. It should allow users to inquire online about the resort’s services.

Scope of the Project Galilee Mansion and Garden Resort still uses a manual procedure in keeping records of their clients and past, current and upcoming reservation of passes, cottages and rooms. In making a manual reservation the client will just make a call, the personnel will write down the reserve services, and when the reserved date

comes that is also the payment date. This type of process best applies to every customers since they all have phones. It takes more time because of too many inquiries and question, and because it is not a face-to-face transaction error is inevitable.

With the use of online reservation system created by the proponents, this will help the company in updating and improving their current system. The company will have their own system with a user-friendly interface wherein customers can easily buy tickets or book a room through online giving them a more easy way and hassle free reservation.

Since their records are only kept in a filing cabinet it can easily be access by any staff in the company, the online system will feature a security module.

In terms of security, the proposed system will include a log-in form. This will have one (1) levels of access. The administrator will have a unique username and password, at least six to twelve (6-12) characters long.

As for reserving, user will have the ability to manage and choose the rooms they need and will allow them to set the date and time depending on its availability.

When reserving for a room the client must fill-up a form provided within the site, he/she must indicate the date of the reservation (date and time of check-in and date and time of possible check-out), before submitting the form.

Fifty percent (50%) of the total amount must be deposited to the bank account of the resort or sent via SMS money remittance for the down-payment before the deadline of the reservation for its assurance,

and the other fifty percent (50%) can be paid on the exact date of the event. Once the down-payment is receive by the company, a notification message will be sent via E-mail or SMS including the reservation ID of the clients, the detail of the reservation, the total amount paid and the balance of the client. This will also serve as a gate pass for the clients when they came-in to the resort.

The monitoring module will display an overview of the system, the administrator is the only authorized person to view and manipulate the content of this module (Confirmed Reservation Overview, and Tentative Reservation Overview).

In file maintenance administrator can edit, update and add new offers to their system. There will be assigned personnel in order to develop the said proposed system such as the researcher, analyst and programmer.

Significance of the Project

The researchers intended to enrich and upgrade the reservation procedures of the resort by developing an Online Reservation System. It is science and technology that are making some companies very highly industrialized and progressive. So, if technology is properly studied and taught and then applied, it can also make the resort highly industrialized and progressive.

This study will be helpful to the Galilee Mansion and Garden Resort, because it will make their reservation procedures more organized and accurate. The customers were benefited by this study because it is less time consuming and convenient. In the long run, the both party will enjoy the good result of the study.

Review of Related Literature and Studies

The application of modern information technology dominated so far by

the use of Internet websites and online reservation systems, gives competitive advantage to other with same establishment. However, the potential competitive advantage can be transformed into real advantage if only the websites have proper design. As a result, the proponents conducted research on the facts related to the system that might be helpful to its development.

Technology is our modernity. As stated in “Everything wants to be digital; Bridle James”, the website is an emergent property of the internet, of the infrastructures we have been building for some time now, which sits atop other infrastructures, physical and cultural.Everything wants to be, and being is a hybrid, digital state now. Everything wants to be digital. It aspires to that higher form, to be capable of being computerized. And the technology is what we have been building because it is what we need: the convergence of our tools and our desires, an unconsciously generated machine for unconscious generation. The online system is made by hand, millions upon millions of words typed up and out, from every blog post, news report and status message, to every line of code which encodes, stores, arranges, transmits and displays them.

According to Locander& Hermann, 1970 “Every person performs some information search prior to a service. Even impulse service require the costumer to internally recall something about the past experiences or beliefs of a service that assist in making them avail it. Costumers acquire information as a way of reducing the risk in the event of uncertainty regarding the outcome of an action. A complete information search will greatly lessen the costumer’s difference between external and internal information. By reducing

the risk, the costumer will generally increase their satisfaction, which is the primary goal of every company.

According to Online-Reservation, computer technology is in fact at its peak. Almost everything functions through the World Wide Web and Internet, from search engines, to personal sites, to social networking sites, and most especially, to business advertisements. Some businesses using manual strategies such as producing flyers and personal communication are left behind. Customers always look for innovative technologies which could make business transactions more convenient. Today, corporate websites are just around every WWW’s corner. These are capable of monitoring and increasing the productivity of a certain business, thereby giving competitive advantages. But as of present, it’s not enough to use static websites as advertisements which offers prospective customers the ability to browse only for information they need. This business strategy has only small advantage over manual strategies of advertising. This is why online reservation systems came into being.

Online reservation systems make customers’ lives easier. Industries such as travel and tourism, hotels, and food use online reservation systems. With travel and hotels, The many benefits of this system for the travelers are easily recognized and include the improved guest services from the initial online contact, the immediacy of the reservation process, the ability to view, select and book their choice of rooms, the instant confirmation at any hour of the day or night every day of the year and their personal information does not go through a third party. The hotel also benefits from this system because it requires less personnel involvement, increases direct sales and instant purchases and improves customer satisfaction. This system also manages

guest billing, room analysis, revenue analysis as well as distributing last minute rates to the Internet, travel agents and corporate clients as stated in ezinearticles.com, June 2010.

Based on the website ezinearticles.com, online reservation systems are the future of the self-catering holiday provider as more and more people request online booking. It is even more important as home working becomes a lifestyle choice, web based solutions are becoming more and more powerful. From the essay posted on the website www.oppapers.com, online reservation systems make customers’ lives easier. Industries such as travel and tourism, hotels, and food use online reservation systems. With travel and hotels, many benefits of this system for the travelers are easily recognized and include the improved guest services from the initial online contact, the contiguity of the reservation process.

According to 658 Apartelle Online Reservation Management System, Short term base lodging is the main reason that a hotel has been established. In the Philippines, wherein many foreign people go and have a vacation, hotel is always their first destination to have relaxation after long hours of travel in an airplane.

Because of the rapid increase of foreigners visiting the Philippines for a vacation, a common sight is the establishments ad sophisticated hotels for competitive advantage. As the result of the competition between different hotels, various business strategies had been made to attract customers, such as putting discounts, having beautiful and relaxing environment and above all having a state of the art computer system and facilities. The current problem observed is the manual guest list records, the manual reservation of guests, the manual booking of rooms for the guests which

takes a long time to accomplish.

According to the manager in the establishment, because they keep on doing their job manually, it resulted to a very messy office, lots of papers around the desks and sometimes important documents disappear. From the information gathered, the proponents came up with an idea of proposing a system that is relevant to the needs of the establishment, highly efficient to meet their needs and most of all simple, easy to use system.

According to Jeong et al. (2005), the role of website quality in attracting online bookings and empirically test their proposed model with potential lodging customers. Authors indicate that information completeness and ease of use are important determinants of website quality.

Analyze resort websites over different criteria and conclude that they provide static information and limited transactional functions. Law and Leung (2002) examine resort reservation systems over attributes like information quality, system use, system quality, services quality, and customer loyalty. Their results show that North American-based websites outperform Asian-based ones as stated in Schegg et al. (2002). According to Landvogt (2004) people evaluates several online booking engines over 23 different criteria, like overall user friendliness, payment method, instant confirmation, reliability, and invoicing function among others. These criteria present some of system’s functions and design principles discussed further in current paper. Law and Wong (2003) find the three most important factors that contribute to a successful website, according to the on-line purchasers, are secure payment methods, different price ranges for products/services, and user-friendly system.

According to Kim & Kim 2004, a study was conducted to find if online reservations for a hotel were affected by

purchaser’s demographics. Their study concluded that no demographic information was significant with online customers and off line customers.

However those that chose to use the internet for reservations concluded that six factors affect why they choose to continue to use the internet for booking reservations:

  • Convenience,
  • Ease of information search.
  • Transaction (ease of understanding policies and placing orders),
  • Information credibility
  • Price and
  • Safety ease of canceling and security of sensitive information.

Being online is the most efficient and time saving way of doing reservations. Most of the literature and studies about reservation said that in online reservations, having an internet connection is the main requirement. Customers can also reserve 24 hours because of offline reservation.
