Immediately a customer phones an order its details should be placed on a computer system. A print out or work order is produced, raw materials ordered then a work order is placed on a waiting material tray. The machine settler then starts working once the raw material is availed.
Delays in doing the work should be avoided. The raw material should not be delayed. Manufacturing process: Customer delivery dates, Secondary operations and customer importance should be given much consideration. To ensure that quality products are produced customer delivery dates should be considered.Customer consideration: The office staff should complete progress sheet in time.
This progress sheet is passed to machine settlers. If an order is made then the settler would have to search the factory for the product. Immediately an order is located its dispatch date is obtained. Then dispatch date is conveyed back to the customer. If order is not made then settler is asked to give the best date for the order.
Proper record keeping should be introduced to avoid wasting of time looking for a product. As the machine settler receives progress sheets. Search is done to locate the order.Progress sheets are then received.
Office staff requests machine settler to cease his present manufacturing batch to commence the order in question. The company should employ enough people to be able to do its operations. Work should also be well organized so that employees can do it quickly without wasting time. Under the heat treatment and grinding departments the machine settlers work hard to produce the product under the production line.
The machine settlers should work to ensure proper product finish and produce quality products. (3) RISK ASSESMENT 1. No clear organization structure.A clear line of authority should be shown. In this company no hierarchy or line accountability was introduced.
A clear line of authority should be introduced in this manufacturing company where a junior staff reports to his immediate boss. The senior should assign duties and delegate authority to his juniors. In a company staff refused to accept the introduction of hierarchy and consequently a power struggle developed. Their lard any intermediate line management resulted in the co-director communication directly with every member of staff.
2. Lack of production teams or team leaders.This is a manufacturing company that lacked production teams and team leaders. As a manufacturing company priority. When production team lacks in a company that majority does production means that something is missing. 3.
Poor planning/organization of work/poor scheduling The production process began when a customer fazed/phoned on order to the office. This shows that the management lacks proper planning. The management should plan in such way that always products have been manufactured and ready for sale. It is not immediately when a customer calls that they rush to start producing a product.The work should be well planned, organized and co-ordinate.
Products should always be stocked and continuous production should go on. 4. Enough stock should be maintained. In some cases the work order could be placed in the awaiting material tray in the office due to lack of raw materials.
A raw material should not be ordered when a customer needs a product. Enough stock that can learn a manufacturing company for over a month should be maintained regularly. 5. Piles of work should be avoided A well structured framework should be introduced that avoids any delays and pile up of orders in the company.Production should be continuous without any delays and waste of time. 6.
Sequence in which orders are manufactured This sequence greatly affects the efficiency of production. 7. Customer delivery date This factor was not taken into consideration if this order could not be easy to manufacture. 8. Secondary operations This factor was not taken into consideration if this order could not be easy manufacture. 9.
Customer importance In other cases this is factor was not taken into consideration if more was required in manufacturing a given product. 10. Poor record keepingA document could be searched in the factory without proper information concerting its location. Hence it becomes difficult to locate the product. This wastes a lot of time and hence a lot of time is taken to locate a given product. 11.
Setting unrealistic goals The machine settlers tended to tell the customer what they wanted to hear rather that what was realistic. The machine settlers should be serious with their work and hence put the customer first the needs of the customer should be well addressed 12. Competent and qualified staff should be employed/customer pressure and permanent backlogs.The machine setter received a confused and contradicting message from office staff. This made 60% of the orders to be late in the factory.
13. Low morale dissidence and very low confidence in management This was due to poor lines of communication in the company. Due to poor lines of communication each manager was unaware of instructions given by their colleagues and consequently none of the mangers were aware of every activity being sectioned. 14. Chaotic communication Lack of intermediate line management, resulted in every shop floor problem. 15.
Lack of willingness from shop floor staff to contribute to problem solving.16. Poor flow of products through the factory lacked workers motivation, coordination work delayed in production line. However quick or slow they would still be a lengthy delay before the order is dispatched. 17.
No teamwork There was no teamwork displayed by the shop floor personnel. There was a negative working culture where the etiquette was to work as little as possible and no harder than your colleague. 18 poor Management The allocation of salaries did not match with once performance this lack of motivation to workers. (5)PRESENTATION 1. Team work • Lack of team work in the company• Lack of team leaders • Lack of production teams or team leaders prior to 2000. This is a manufacturing company that lacked production teams and team leaders.
As a manufacturing company production should be given first priority. • There was little or no teamwork displayed by the shop floor personnel • Negative working culture- there appeared to be negative working culture where the etiquette was to work as little as possible and no harder than your colleague. • Management could not work as one group due to lack of formal communication forums, to encourage their participation in problem solving.• As manufacturing company teamwork is very important so as to ensure that proper and maximum production is achieved teamwork must be encouraged by the management.
The managers should work as one team. This should be spread to the junior employed who should also work as a team. • By working as a tem it is easy to solve a problem that could be seen as complex. 2. Communication and information’s system; The many lines of communication in the company between officer and factory and power struggle between the offices staff made the three managers make their own conclusions.For proper communication a proper channel should be followed.
One manager should be able to guide the other. If all the managers make decisions then confusion will arise in a company. It is required that the organization structure of the company to be reviled and clear lines of communication to be introduced. No formal communication forum existed in the company The shop floor staff was not given any information and was left to make their own conclusions. Formal communications is very vital is a company set up.
It eliminates feelings of isolation and insecurity and distress in management.So that production is maximized formal communication should be encouraged. So as to achieve a common goal all company employees should speak in one voice. By proper communication feelings of isolation and insecurity will be eliminated and trust in management will build up. 3. Production flow and control The flow of products through the factory was very poor with major bottlenecks at the heat treatment department and the grinding department amounts of work in progress at the heat treatment and grinding departments had both a negative and positive psychological effect throughout the factory.
The machine settlers were discouraged in their work because they knew that even if they are quick or slow their still will be a lengthy delay before the orders are dispatched. The poor flow of products in the factory severely reduced morale among the machine settlers. To encourage and motivate workers there should be a proper flow of products in the factory. The machine settlers should be encouraged and motivated to do their work perfectly.
The workers should be encouraged to deliver products in time. The morale of workers should be maintained indoor to improve productivity in a company.Large piles of work should b e avoided to eliminate pressure on employees. 4. Training The employees of this company should be trained on proper planning, organization of their work and work scheduling.
Employees should be well trained on how to communicate with their customers. Complete their duties in time. Piles of work should be avoided. A well structured framework should be introduced that avoids any delays and pile up to orders in the company.
Production should be continues without any delays and waste of time. Enough stock should be maintained.Stock that can learn a manufacturing company for over a month should be maintained regularly. 5.
Problem solving Very few ways of solving problems have been employed in this company set up. The senior management does not co-ordinate well among them in order to solve problems as a team. They work in isolation without sharing ideas, without asking for guidance from a fellow college. This situation leads to poor performance of a company. Delays of work emerge and deadlines are not achieved.
Co-ordination and good communication channels assist in problem solving. 6. Employee involvementThe employees of this company were not encouraged to work as a team. An employee could not perform a task outside his real work. This situation leads to poor performance of a company.
Employees should assist each other in achieving company goals. 7. Customer focus The company should put the interests of the customer first. The company employee should not do what they prefer to be best to them without taking the needs and requirements of the customer to mind.
Without the orders of the customers the company will not exist. Anything that a customer raises should be handled with extra care.To ensure that this customers are well maintained they should be asked whether they have been well served. The company risks losing its customers if their interests and needs are not well served. To maintain more customers the company should build a good reputation with members of the community.
The company should also participate in community projects to stand in a good position of attracting and maintaining more customers. 8. Performance measures A system of relation the performance of an employee to his salary should be introduced. In order to encourage performance a good method of measuring performance should be introduced.9. Leadership and senior management commitment.
Senior management should be committed in ensuring that company goals and objectives are achieved. When conflicts arise in a company involving the senior staffs it becomes difficult for them to work as a team. Hence there is agent need of solving this problem first. This particular company has a problem of addressing issues. Hence the senior management is required to set a good example to be followed by the junior employees.
