The researcher highlights the significance of health by stating, "Health is metabolic efficiency, sickness is metabolic deficiency." In our day-to-day existence, accidents are unavoidable and we can encounter sudden ailments like headaches, stomachaches, and toothaches anywhere and anytime.
It is crucial for all establishments to have a designated health promotion area. One reliable option is the "Clinic," which provides essential care and assistance to alleviate or minimize health issues. However, the process of visiting the clinic when you don't feel well can be stressful and give you a headache. They require you to fill out a form with personal details such as your name, age, gender, location, and religion before they can help you.
In spite of living in a technologically advanced era where Information Technology has revolutionized various industries and computers have significantly aided establishments in their opera
...tions and transactions, some businesses and organizations have not kept up with these technological advancements. Upon analysis, there are still clinics that rely on manual operations or paper-based systems for their medical transactions.
The researchers aim to propose a system that improves service, eliminates paper works, and provides an efficient approach for both the user and the patient. The study focuses on developing a Sales and Billing System for the Beautiful Smile Dental Clinic, specifically for billing purposes. The proposed system can track the number of patients per day, monitor their bills, and includes a search index for accessing patient information.
Login accounts will be created for different users to access the database. Only registered users are allowed entry into the system.
1. Background of the Problem
In dental clinics, the focus has shifted from facts to problem-solving and gaining a deeper
understanding of finding suitable solutions. However, corresponding advancements have not been made in the development of billing systems. Consequently, dental clinics continue to rely on manual systems.
While conducting this study, the proponent noticed that manual billing systems in dental clinics consume time and effort. Hence, the proponent decided to develop a computerized system for convenience. The "Beautiful Smile Dental Clinic" is one such clinic that still uses a manual system, as confirmed by the proponent's interview.
Beautiful Smile Dental Clinic is the first clinic in Ormoc to utilize a modern billing system, giving them an edge over their competitors who still rely on manual billing. This system not only improves their services, but also aids in the growth and progress of their business. The proponent has created a billing system specifically designed for the "Beautiful Smile Dental Clinic", bringing more convenience compared to the time-consuming and labor-intensive manual system.
Furthermore, technology has reached a point where it is widely used by the majority of people around the world.
Modern technology has greatly benefited the business world by simplifying and speeding up work processes, especially in large businesses or companies. When we think of technology, we immediately think of computers and the internet, which provide access to search engines like Google, Yahoo, Ask, and Bing. Additionally, popular social networking sites such as Facebook, Twitter, and Skype can also be accessed through these platforms. Technology is accessible to people of all ages and computer proficiency levels while bringing various advantages to our daily lives. However, it's important to note that not all modern technology is beneficial as it comes with disadvantages. Therefore, caution must be exercised when using
technology to improve our lives.
3 Project Rationale
; Dentist
The dentist is the main user of the system, and it is designed to only grant access to the dentist and employees for security and safety reasons in their business.
; Employee
Employees are secondary users of the system. If the dentist is unavailable at the clinic, employees can log in to provide customers with information about service costs.
; Patient
The proposed system aims to enhance customer experience by improving and expediting billing procedures for patients.
The text discusses the benefits of using a dental billing system to streamline patient registration and reduce burdens for dental clinics. However, the effectiveness of this system depends on whether the patient already has an existing record in it.
2. PROJECT DESCRIPTION
2.1 Problem Statement
This project aims to develop a dental billing system specifically for clinics in a certain town. Currently, most dental clinics in the town rely on manual systems for their billing and record-keeping processes. However, this manual approach has resulted in a decline in their business income as patients often accumulate debts with them. Typically, patients only pay half of their bills and promise to settle the remaining amount when they have additional funds available.
The project aims to save time by converting the manual or paper-based system into a computerized system. This conversion will benefit both the dental clinic and patients as it will reduce the registration burden for those with existing records in the system.
2.1.1 General Problem: What is the solution for converting the manual or paper-based system into a computerized system?
Main Problems:
• One specific problem is the need for faster bill computation, particularly for returning customers/patients. The process of manually calculating
bills is time-consuming and labor-intensive, which can be especially burdensome for first-time clinic visitors.
• Another issue to address is the desire to minimize space and paper usage when it comes to documents and records. Managing a high volume of patients necessitates a significant amount of paper to store their information, increasing the risk of important documents being lost.
• Additionally, there is a necessity to prevent potential errors that may arise from manual bill calculation. Relying on manual computation can result in avoidable mistakes in patients' bills.
1. Proposed Research Project
2.
2.1 General Objective: The proponent aims to create a billing system that addresses the difficulties faced by users in billing and tracking customer/patient records.
2 Specific Objectives:
• The proposed system aims to compute the bills for patients, eliminating the need for manual billing.
• By connecting the proposed system to a database, it will reduce the consumption of space and paper as some records will be stored electronically.
• The implementation of the proposed system will ensure accurate computation of patient's bills, making it easier for the user to process payments.
2. 2. 3 Scope and Limitations
- The proposed system enables the maintenance of records by allowing searching, adding, updating, and deleting.
- Records can be searched, updated, or deleted if a patient is deceased or has a new address. Additionally, new patients can be added to the system.
- The proposed system includes a log-in system to ensure security and safety.
The proposed system is restricted to the dentist and employees, who possess
the exclusive knowledge of its username and password. Its functionality includes monitoring the number of patients seen on a daily, monthly, and yearly basis for reporting purposes. This facilitates the dentist in tracking clinic visits and services provided. However, due to being programmed in Microsoft Visual Basic, it lacks online capabilities and cannot be connected to a printer.
The proponent did not include the codes in the program to connect to the printer. The proposed system, which is for the Beautiful Smile Dental Clinic, is a billing system.
The dental clinic is encountering problems with patient billing because of their current manual, paper-based system. This system is both time-consuming and demanding. To tackle this issue, the proponent has created a billing system aimed at easing these challenges.
The program is created using the Microsoft Visual Basic programming language and utilizes Microsoft Access for establishing a database connection, ensuring automatic storage of system records. It offers various functions such as viewing, adding, updating, deleting, and computing patient bills. The system also includes a login form to ensure security. Dentists, employees, and patients are the intended beneficiaries of this system. They can enjoy benefits like increased business revenue and simplified work processes. Importantly, patients will no longer need to spend time and effort filling out registration forms.
